Creating Approval Chains

Click the Approval Hierarchy link to create the approval chains used to approve employee requests. The administrator follows the same procedure for all types of employee requests except leave requests. Leave request approval chains are created by leave type (default, vacation, personal, etc.) instead of request (benefit, deduction, etc.). Create a default leave approval chain if your organization has only one approval hierarchy for all types of leave requests.

Follow these steps to create a request approval chain for the following request types: Benefits, Deductions, General Demographics, Dependents, Emergency Contacts, Direct Deposits, and Taxes.

  1. Click the Approval Hierarchy link on the Admin Home page.

  2. Click the Approval Chain Type Drop Down List button to select the request type for this approval chain.

  3. In the [Request Type] Approval Hierarchy grid, click the link. The [Request Type] Approval Chain Level page displays.

  4. Click the Approval Group Drop Down List button to select the approval group to which the approvers belong.

  5. In the Level field, type the approval level for the approval group selected. Remember to assign the lowest approval level to the first approval group.

  6. Click the button to save the approval chain level.

  7. Repeat steps 3 through 6 for each approval level in the approval chain.

Creating an Approval Chain for a Leave Request

Follow these steps to create an approval chain for a leave request. The administrator can create a different leave request approval chain for each type of leave available to your employees or a default leave request approval chain. Use the default leave request if your organization uses the same approval hierarchy to approve all leave requests, regardless of leave type.

  1. Click the Approval Hierarchy link on the Admin Home page.

  2. Click the Approval Chain Type Drop Down List button to select Leave from the available options.

  3. Click the Leave Type Drop Down List button to select the leave type associated with this approval chain. Select the DEFAULT option to create a default leave hierarchy.

  4. In the Leave Approval Hierarchy grid, click the link. The [Leave Type] Approval Chain Level page displays.

  5. Click the Approval Group Drop Down List button to select the approval group to which the approvers belong.

  6. In the Level field, type the approval level for the approval group selected. Remember to assign the lowest approval level to the first approval group.

  7. Click the button to save the approval chain level.

  8. Repeat steps 4 through 7 for each approval level in the approval chain.

Adding Approvers to each Approval Chain Level

After creating the approval chain, you need to assign the approvers in each approval group responsible for approving the employee's request at each approval chain level.

  1. Click the Approval Hierarchy link on the Admin Home page.

  2. Click the Approval Chain Type Drop Down List button to select Request Type from the available options.

If adding approvers to a Leave Approval Hierarchy, click the Leave Type Drop Down List button to select the type of leave request to which this approval chain applies.

The [Request Type] Approval Hierarchy grid displays.

  1. Click the Edit button that corresponds to the approval group to be defined. The [Request Type] Approval Chain Level page displays with the Approvers at this Level grid.

  2. In the Approvers at this Level grid, click the link. The Add Approver grid displays.

  3. Click the Employee Number assigned to an approver that belongs in this approval group.  The message "Approver Added" displays.

  4. Click the button to close the message; and to continue adding approvers to the approval group. When finished, click the button to return to the [Request Type] Approval Chain Level page. The approvers selected display in the Approvers at this Level grid.

  5. Click the button to update the approval chain level.

  6. Repeat steps 3 through 7 to add approvers to the remaining approval chain levels.
